When you are starting to decide how, when, where, who, what and why of a Club Fundraising Project, take the SPEED test first.

S e l e c t
Fund raising functions or events that

  • Involve all members

  • Can be carefully managed financially

  • Have appeal in your community

 

Strong leader (s) and committee members with

  • Previous experience

  • Sales experience

  • Accounting experience

  • Legal and insurance experience

  • Logistics planning experience

  • Strong community business connections

  • Public relations experience

 

Members that…

  • Want to work

  • Need to work

  • Don't usually work

  • Are new

  • Are old

  • Don't have a clue

 

In other words, GIVE EVERY MEMBER A JOB!!!

 

 

P l a n

  • Early, often, ahead - it is never too soon to start

  • Determine the purpose FIRST, then the event

  • Assess your resources FIRST, then the event

  • Build on past experiences - apply the lessons learned, then the event

  • Assess your financial needs - BEFORE you select the event


BUDGET

  • Develop a budget - for both the event and the amounts to be given as donations

  • Identify who will benefit from the event

  • Will the Club need to provide funding from your own Club budget? (Is the event to be self supporting?)

  • How big a "NUT" will you need to raise to then make some money for donations?

  • Who will say "NO" to expenditures?

 

LOGISTICS

  • Venue - Where, When, Timing, Weather, Conflicts

 

PUBLICITY

  • Promotion - How, When, Method, Media, Conflicts

  • To buy or not to buy publicity - that is the question

  • Making your event NEWSWORTHY

  • Use the Rotary logo appropriately (See Rotary.org for info.)

 

PARTICIPATION

  • Who - just your Club, other groups, everybody

  • Benefits - Recognition, Money, Publicity

  • Directions - who tells who what to do

  • Define - tasks, responsibilities, accountability

 

E x e c u t e

DEVELOP

  • Daily calendars and time schedules

  • Assignment charts or sheets

  • Working Committees with sub-Chairs

DEFINE

  • Clear tasks which can be understood by everybody - leave no questions unasked

  • Success - at every level

  • Measurements - avoid disasters

EXPECT

  • Something to go wrong

  • Most everything to go right

  • Somebody to get sick

  • To enjoy yourself

  • To say "THANK YOU"  often and in person

  • What Mr. Lincoln said (You can please some of the people, some of the time, but you cannot please all the people all the time.)

  • To take pictures

  • To smile

  • To laugh (especially at yourself)

  • To have an adult beverage when it is over!!

  • Of the Chairs and Leaders

  • Of the groups that may have assisted and/or benefited

  • Future success of events

  • Records are kept and are completed

  • Records are passed on to the next leadership team

  • Outstanding bills are paid and issues resolved

  • Awards

    • Are applied for (at the District level at least)

    • Plaques are given

    • “Recognition is always the best reward:"

 

D e c i d e

“Do we really want to do this event again?"

Hold a Club Assembly - hear the cheers (or the moans and groans)

Whether an event should be "sunsetted" (allowed to not be prepeaed)

 

Then, S P E E D on to the next event! GOOD LUCK!
